WMS for Food and Beverage

WMS for Food and Beverage Manufacturers: FEFO Lot Rotation, FSMA 204 Traceability and Cold Chain Management

No platform replacement. No recurring GrayCyan software licence.

Food manufacturing inventory management software has to control physical movement, shelf life, traceability and temperature at the same time. GrayCyan builds that warehouse execution layer on the ERP a manufacturer already uses.

Why It Is Different

Why Food and Beverage WMS Requirements Are Different From Standard Warehouse Management

A warehouse management system for a food manufacturer is not a standard WMS with a few food specific settings. The operational and compliance requirements change how the system must be designed, from receiving and storage through production staging and shipment confirmation.

Four requirements shape the design, and each one governs a different part of the workflow: rotation sequence, traceability records, temperature zones, and how quantity itself is measured.

GrayCyan builds that warehouse execution layer on the ERP a manufacturer already uses.

Your ERP Stays → The WMS Executes

Without forcing a platform replacement or adding a recurring GrayCyan software licence.

Two lots of the same SKU with different expiration dates on a pick face
Rotation

FEFO Rotation Enforcement

Products must ship in first expiry first out sequence. FIFO can direct the wrong lot when two lots of the same SKU have different expiration dates.

FEFO rules need to govern receiving, putaway, picking and ship confirmation.

Key Data Elements captured at the scan event rather than reconstructed later
Traceability

Lot Traceability Through Every CTE

FSMA Rule 204 requires Key Data Elements to be captured at Critical Tracking Events, including receiving, transforming and shipping.

The record has to be created at the scan event, not reconstructed later from spreadsheets.

Chilled and frozen zones enforced in the location master
Temperature

Multi-Temperature Zone Management

Ambient, chilled, frozen and controlled temperature locations need system enforced rules.

A cold product sitting in ambient staging is a food safety risk, even when the ERP quantity remains accurate.

Meat and produce weighed by actual weight at receiving
Catch Weight

Catch Weight and Variable Weight Handling

Meat, produce and bulk ingredients may be purchased, stored and sold by actual weight.

The WMS must capture weight differences by lot and pass the correct quantity and valuation to the ERP.

FEFO

FEFO Inventory Management: How It Works in a Food and Beverage WMS

FEFO, or First Expiry First Out, is an inventory rotation method that sequences outbound picks by expiration date rather than receipt date. In food warehousing, the lot with the nearest expiration date ships before lots with later expiration dates, regardless of when each lot arrived. It is the appropriate rotation method for food and beverage products with a shelf life.

FIFOFEFO
How picks are sequenced: by receipt date. The first lot received is picked first. How picks are sequenced: by expiration date. The nearest dated available lot is picked first.
Best fit: products where lots have the same shelf life and arrive in expiry date order. Best fit: food, beverage and other shelf life controlled inventory where expiry risk matters.

Effective FEFO inventory management requires more than sorting a report by expiry date

01

Capture at Receiving

Capture the expiration date at receiving and store it against the lot record.

02

Direct Short-Dated Stock Forward

Direct shorter dated stock to accessible pick locations rather than placing it behind longer dated inventory.

03

Query by Expiration Date

Query available stock by expiration date when creating the pick instruction.

04

Verify at Pick Confirmation

Verify the directed lot at pick confirmation so an operator cannot substitute a more convenient lot.

05

Re-Query on Exception

Re-query the next expiring available lot when the directed stock is damaged, blocked or unavailable.

FSMA 204

FSMA 204 Compliance in the Warehouse: KDE Capture at Every CTE

FSMA Rule 204 requires covered food manufacturers and handlers to capture Key Data Elements at each Critical Tracking Event and provide the records to the FDA within 24 hours of a request. In a manufacturing warehouse, the WMS has to connect receiving, production and shipping records into one traceable lot history.

Traceability Lot Code captured at the receiving dock scan
Receiving CTE

Captured at the Dock Scan

Capture the Traceability Lot Code, product description, quantity, unit of measure, receiving location and date.

Plus supplier name and location, all at the dock scan.

Input lots consumed and finished goods lot created during production
Transforming CTE

Input Lots to Finished Goods

Record the input lots and quantities consumed, and the finished goods lot created.

Along with the production date and the location of transformation.

Recipient and transporter captured at shipment confirmation
Shipping CTE

Captured at Shipment Confirmation

Capture the lot code, product, quantity, ship-from location and ship date.

Plus recipient and transporter, at shipment confirmation.

The practical test is recall response. A forward trace should show which finished-goods lots used a raw material lot and which customers received them. A backward trace should identify the suppliers and input lots behind a finished-goods lot. Both should be produced from structured WMS and ERP data in minutes, not assembled from paper records.

2 to 3 Days → Under 60 Seconds

In one USDA regulated meat processor deployment, GrayCyan reduced audit response time from two to three days to under 60 seconds by connecting receiving, production and shipping data. See GrayCyan's lot traceability software and the FSMA 204 compliance deadline guide.

Cold Chain

Cold Chain Warehouse Management: Zone Enforcement and Temperature Records

Cold chain warehouse management controls inventory movement across temperature zones and documents what happened when a product was outside its required range. Quantity accuracy alone is not enough. The WMS must enforce location rules from receiving through staging and shipping.

01

Zone Configuration

Define ambient, chilled, frozen and controlled temperature locations in the WMS location master.

02

Putaway Enforcement

Reject a scan when the item's temperature requirement does not match the destination zone.

03

Pick Zone Compliance

Direct replenishment and picking from the correct temperature zone, including reserve storage.

04

Staging-Time Limits

Track how long temperature-sensitive lots remain in ambient staging and alert the team before the threshold is exceeded.

05

Excursion Logging

Connect sensor events to the affected lot record so the compliance trail includes the time, location and inventory involved.

The WMS does not replace temperature sensors or continuous data loggers. GrayCyan connects existing monitoring infrastructure to lot level warehouse records, so an excursion can trigger a hold, inspection or release workflow inside the same operational system.

What We Build

GrayCyan Food and Beverage WMS: Built on Your Existing ERP

GrayCyan builds a custom food warehouse management system connected to the ERP already running in the facility.

The design starts with the receiving, production and shipping workflow, then adds scan-based control where manual decisions or delayed entries create traceability, inventory or compliance gaps.

What GrayCyan builds:

  • FEFO enforced receiving and putaway, with expiration date and temperature requirements captured at the dock.
  • FSMA 204 KDE capture at receiving, production and shipping, with structured records available for recall response.
  • Lot genealogy that links raw material lots, production orders and finished-goods lots for forward and backward traceability.
  • Multi-temperature zone rules enforced at every putaway, replenishment and picking scan.
  • Catch weight receiving, weight based valuation and automatic ERP adjustments for inventory and accounts payable.
  • Supplier lot mapping that preserves the connection between incoming supplier codes and internal Traceability Lot Codes.
  • Expiry risk monitoring that flags lots moving slower than forecast and supports better replenishment timing.

The manufacturer owns the completed system and documentation. There are no recurring GrayCyan software licence fees. Related services include custom WMS development, ERP inventory management and food manufacturer AI solutions.

Frequently Asked Questions: WMS for Food and Beverage

What is FEFO in inventory management?
FEFO, or First Expiry First Out, sequences outbound picks by expiration date rather than receipt date. In food warehousing, the lot closest to expiry ships first. This prevents shorter dated stock from remaining on the shelf behind inventory that arrived earlier but expires later.
What does FSMA 204 require from a WMS?+
FSMA Rule 204 requires covered food businesses to capture Key Data Elements at receiving, transforming and shipping events, then provide the records to the FDA within 24 hours of a request. The WMS should capture lot, quantity, supplier, location and shipment data at the scan event and support forward and backward traceability.
Can an ERP handle food warehouse management without a WMS?+
An ERP can hold item, lot, order and financial records, but it may not enforce physical execution. Food manufacturers with FEFO, scan based traceability, cold zone rules or catch weight products often need a WMS layer that directs and validates activity while writing confirmed transactions back to the ERP.
What is cold chain warehouse management?+
Cold chain warehouse management controls inventory movement across ambient, refrigerated, frozen and controlled temperature zones. A WMS can reject incorrect putaway, direct picks from the correct zone, track time in staging and connect temperature excursion events to the affected lot record for investigation and compliance documentation.
How does GrayCyan connect a food WMS to an existing ERP?+
GrayCyan builds API and integration middleware that reads purchase orders, production orders and item data from the ERP, then writes receiving confirmations, lot records, picks and shipments back automatically. The warehouse team works through scan based workflows while the existing ERP remains the financial and planning system of record.
What is the July 2028 FSMA 204 deadline?+
July 20, 2028 is the FSMA Rule 204 compliance deadline. Covered businesses handling foods on the FDA Food Traceability List need electronic KDE records across required CTEs and must be able to provide traceability information within 24 hours of an FDA request.
